Position Overview
We are looking for an experienced Virtual Assistant with strong technical skills for a long-term collaboration. This role combines administrative support with technical responsibilities across CRM platforms, automations, email marketing tools, and internal systems. You will work closely with executives to manage schedules, coordinate projects, and build, set up, and optimize tools used by the team. The ideal candidate must be comfortable working inside platforms like GoHighLevel, Mailchimp, and similar systems.
Responsibilities
Administrative Duties
Schedule and prioritize meetings, appointments, and action items with executives.
Assist with client calls, estimates, and communication (internal and external).
Support ongoing projects, database updates, and general administrative tasks.
Prepare and edit documents, conduct research, and organize information.
Maintain confidentiality and professionalism at all times.
Technical & Platform Management
Build, set up, and optimize tools, dashboards, and systems used by the team.
Create and manage automated workflows, pipelines, triggers, and sequences inside GoHighLevel.
Create, edit, and deploy email campaigns, templates, and automations in Mailchimp.
Configure and troubleshoot integrations, forms, funnels, tags, webhooks, and tracking.
Maintain CRM data accuracy: contact organization, tagging structures, reporting, and pipeline updates.
Support the setup of new software and ensure tools are connected and working properly.
Provide light troubleshooting for technical issues across different platforms.
Suggest improvements to processes, systems, and automations to help the team work more efficiently.
Requirements
Previous experience as a Virtual Assistant with strong technical responsibilities.
Strong communication skills in English (verbal and written).
Proven experience with GoHighLevel (workflows, pipelines, automations, funnels).
Proven experience with Mailchimp (email sequences, lists, templates, basic automations).
Ability to create automations, integrate tools, and manage CRM systems.
Laptop or desktop computer less than 5 years old (Windows is required).
Strong mastery of Outlook and Microsoft Office (Excel, Word, PowerPoint).
Excellent time management and organizational skills.
Motivated, proactive, and able to take initiative.
Work Schedule
Monday to Friday, 9am–5pm EST (Canada-based company)
