Role Description
We are seeking an Onboarding Specialist to support a U.S.-based behavioral health organization focused on expanding access to high-quality mental health care. This is a non-clinical, operations-focused role dedicated to delivering a seamless onboarding experience for newly hired healthcare providers. You will serve as the primary point of contact for healthcare providers from the moment they are hired, owning all pre-call admin setup, facilitating structured onboarding calls, and ensuring every provider is fully equipped to begin seeing patients with confidence. This role is ideal for someone with strong verbal communication skills, exceptional attention to detail, and the ability to manage multiple concurrent onboarding timelines in a fully remote environment.
Responsibilities:
Reach out to newly hired healthcare providers to schedule onboarding calls and manage all pre-call coordination
Complete all pre-onboarding admin tasks including setting up provider email accounts, phone lines, EHR access, and payroll enrollment prior to their start date
Maintain and own an Airtable-based onboarding tracker, checking off tasks in real time and ensuring no deadlines are missed
Facilitate 3-hour live onboarding calls walking providers through company systems, EHR platforms, provider guidelines, and clinical workflows using a structured checklist
Set up provider directory profiles on platforms such as Psychology Today prior to provider start dates, accounting for lead times and verification requirements
Introduce providers to their supervisors and associates, distribute supervision contracts, and manage any follow-up paperwork
Serve as the ongoing point of contact for provider questions related to tooling, tech issues, and operational workflows post-onboarding
Qualifications:
3–6 years of experience in an onboarding, provider relations, or coordination role.
Exceptional verbal communication skills with the ability to lead structured, multi-hour calls in a clear and engaging manner
Strong written English communication skills; comfortable drafting professional emails and documentation
Highly organized and deadline-driven, with the ability to manage multiple onboarding timelines simultaneously without missing pre-start setup tasks
Comfortable working independently in a fully remote, async-friendly environment
Working hours aligned to Central Time.
Proficiency in Airtable, Google Workspace, and EHR/EMR systems
